HOW TO BUILD A CLIENT PORTAL IN SOFTR (STEP-BY-STEP GUIDE 2026)

In this video, I will show you how to build a client portal in Softr. To get started, open your web browser and sign into your Softr account. If you do not already have one, create a new account and complete the initial setup.

Next, click Create New Application and choose whether to start with a blank app or a client portal template. Using a template is usually the fastest option for beginners because many of the essential pages and layouts are already included.

After that, connect your data source. Softr supports several data sources, including Airtable, Google Sheets, HubSpot, SmartSuite, Xano, and others. Select your preferred source and authorize the connection.

Once it is connected, make sure your client information, projects, invoices, documents, or other records are organized in separate tables or collections. Now, customize your portal pages. Add pages such as dashboard, projects, invoices, documents, support, or profile depending on what you want your clients to access.

You can rename pages and rearrange them in the navigation menu. Next, add content blocks to each page. Drag and drop lists, tables, charts, forms, buttons, file galleries, calendars, and text sections into your layout.

Configure each block so it displays the correct information from your connected data source. After that, set up user authentication by enabling login and sign up if needed. Create user groups such as clients, team members, or administrators so each type of user has access to the appropriate pages.

Now, configure record-level permissions. Connect your client records to each user's email address or unique identifier so every client only sees their own projects, invoices, files, and other private information after signing in. Next, customize the design of your portal.

Update your logo, brand colors, fonts, navigation menu, buttons, and page layouts to match your company's branding and create a professional appearance. After that, test your client portal by creating a test client account. Sign in as that user and confirm that the correct pages are visible, the data loads properly, forms work correctly, and permissions prevent access to other clients' information.

Finally, when everything is working as expected, click Publish to make your portal live. Share the portal link with your clients or connect your own custom domain for a more professional experience, and continue updating your content as your business grows.
