- How many paid Members you need: You don’t necessarily pay for everyone who uses Smartsheet. Smartsheet’s subscription price doesn’t always represent your total spend. But what are Smartsheet’s main hidden costs? The main hidden Smartsheet costs to plan for are premium apps, plan upgrades if you outgrow usage limits, training and onboarding, and additional paid seats as your user base grows.
1.) Premium apps
Several advanced Smartsheet tools cost extra on Business or Enterprise, although many are included with Advanced Work Management.

4.) True-up fees on user growth
As more people use Smartsheet, some may temporarily become Provisional Members if they need Member-level capabilities. During Smartsheet’s regular true-up, admins review these users and decide who needs a paid Member seat.
If you add a Member and don’t have a spare paid seat, the additional seat is added to your next bill. Annual plans are reviewed quarterly and monthly plans monthly, so it’s worth monitoring access as your user base grows.

Those figures don’t mean Smartsheet is charging companies more than its advertised per-Member rates. They measure total purchases or spend rather than the cost of an individual seat. Larger deployments can include more paid Members, Enterprise pricing, premium apps, support, and other services.
The takeaway is that $9 or $19 per Member/month is useful for comparing plans, but it isn’t a reliable estimate of your total Smartsheet budget. Your eventual spend depends on how broadly you deploy it and which additional capabilities you need.
Smartsheet pricing by team size
How much you’ll spend on Smartsheet depends less on your company’s total headcount than on how many people need paid Member access, which plan you choose, and which add-ons you need. Mid-market

- Choose annual instead of monthly billing. Smartsheet discounts both Pro and Business when you pay annually. Pro drops from $12 to $9 per Member/month, while Business falls from $24 to $19.
