Quark Expeditions partnered on the development of “Team Quark Hub,” a centralized internal operations portal built with Softr to streamline expedition team management workflows. The platform was designed to support over 200 expedition team members while reducing administrative overhead tied to certifications, onboarding documents, and deployment communications.
The project began as a proof-of-concept demonstration environment with branded UI, dummy data, and role-based access controls to help internal stakeholders evaluate Softr as a long-term operational platform. The system included separate user groups for administrators and expedition team members, ensuring that staff could securely manage only their own information while administrators maintained complete operational visibility.
The solution included self-service employee profiles containing legal information, emergency contacts, phone numbers, WhatsApp details, and deployment-related records. A dedicated document management system was implemented for certifications, passport photos, vendor forms, and banking documentation, with automated workflows designed to identify missing uploads and notify expedition staff accordingly.
One of the primary operational pain points involved certification expiry management. Automated workflows were configured to notify expedition team members at multiple intervals before certification expiration, including 365 days, 9 months, and monthly countdown reminders from 6 months through 1 month prior to expiry. Additional workflows identified missing certifications and triggered reminder emails automatically.
The platform also centralized deployment communication workflows by providing expedition staff with access to flight itineraries, hotel bookings, transfer details, operational handbooks, policy PDFs, and company-wide updates. To support long-term internal ownership, walkthrough videos and backend optimization guidance were also delivered to help the client independently manage day-to-day operations and future scaling requirements.
