Artist Project Portal is a custom-built Softr application designed to streamline artist onboarding, project coordination, and production planning for a creative production company.

THE CHALLENGE

Managing creative productions involves multiple stakeholders, complex information gathering, and numerous administrative steps. Artists and their representatives need to provide creative briefs, repertoire details, technical requirements, and logistical information, while production teams coordinate proposals, agreements, payments, and production schedules.

Traditional processes relying on emails, spreadsheets, and disconnected tools often lead to duplicated work, fragmented communication, and limited visibility into project progress.

OUR SOLUTION

We developed an end-to-end artist collaboration experience using Softr as the client-facing platform, supported by a workflow architecture involving ClickUp, Make, Cal.com, PandaDoc, and Stripe.

The solution brings together several key capabilities:

• Guided Artist Journey: A structured experience guiding artists from their initial invitation and assessment call through onboarding, proposal review, agreement signing, payment confirmation, and production planning.

• Smart Artist Intake: Digital questionnaires capture artistic background, repertoire, creative ambitions, and collaborator information before the initial consultation.

• Proposal and Agreement Workflow: A streamlined process for reviewing project proposals, confirming collaboration terms, and transitioning projects toward production.

• Payment Milestones: Payment status is incorporated into the project journey, enabling controlled transitions between commercial and production stages.

• Collaborative Production Planning: Dedicated, independently editable sections covering performers, repertoire, technical requirements, creative direction, promotional materials, and logistics.

• Multi-Stakeholder Collaboration: Artists, managers, and record label representatives can contribute to different aspects of production planning without overwriting each other's work.

• Project Progress Tracking: Visual milestones, completion indicators, and contextual next steps provide clarity throughout the entire process.
