I Built a Custom CRM With AI in 10 Minutes (No-Code)

Normally, I have a bunch of different Google Sheets, multiple emails open, and no single way to properly store this information. That's where Softr comes in. It's not just a website builder like Lovable, it's a complete platform that builds applications.

Today, I'm going to create an entire CRM in just a couple of minutes. It's complete with multiple user views, a system to actually manage the users, and it has automation built directly into the backend. Let's start building by saying I'm a YouTuber managing sales and video integrations.

I have three mailboxes, and normally the information I get is the name, company, and contact email. I'll prompt Softr to make a CRM for this and send the request in. The cool thing here is that Softr is going to go away and create the CRM instantly.

They're not just about building websites. On the home screen, we have applications, databases, workflows, and forms all native in one system. Inside an application, you have your data, users for security permissions, and workflows already connected.

Softr is going to ask some clarifying questions about what I want to track. I love that I can just click the options instead of typing out the details manually. We'll choose to track pipeline stages and track the three mailboxes separately.

People can sign up on their own or sign in via Google. For the design, I like the navigation on the left and bottom, and we'll choose the campfire color scheme. We'll click create, and it will go and build our simple CRM.

It already populates the app with data so we can organically test out what it feels like. Just like that, the draft layout is ready, so let's check it out live. One of the coolest things about Softr is the ability to preview the app as different people.

We can have an admin, an assistant, and a sales rep, and they're all going to see something different. On the home screen, we have our current deals in the pipeline and the contact mailboxes. We can view deals per mailbox, cleanly separating the different compartments of my main company.

We can even use the Ask AI feature directly inside the app to search and summarize everything. The app looks great on the tablet version and mobile, and it's completely ready to go. You can even use a QR code or an emailed link to test it freely on your devices.

Let's check out the deals and tasks pages to see how they look. I can easily open the item details block to view and edit specific task information. If we switch views to see what the assistant can access, right now they currently see all the mailboxes.

To restrict this, we can check out the data backend and see our users, deals, and tasks. If we want specific users to only see certain things, we can simply prompt the AI Co-Builder to modify permissions. I'll securely ask it to modify the app so the assistants can only see mailbox three.

I'll jump back over to the preview window to verify that the assistant view is successfully locked down. We can see that the assistant now has access to mailbox three only. These security permissions are inherently built in, which is perfect for real-company deployment.

We can gracefully make overall modifications to the site itself by using the AI Co-Builder. I can organically prompt it to generate a light mode version of the app. Alternatively, you can click the plus icon to manually add blocks directly onto the page.

You can easily drag and drop elements just like any standard website builder, but this is the front end of an entire application. We can also dive into the theme settings to change branding and keep design elements unified. You'll also notice we have a custom onboarding flow built directly into the system.

Speaking of flows, we can manually configure custom automated actions using Softr Workflows. From the home screen, you can browse a variety of templates to instantly set up actions like sending weekly digests or Slack alerts. I'll visually use a template, connect it up, and have it send alerts whenever we have updates.

Let's open up the AI Co-Builder to make some quick automation modifications. Instead of Slack, I'll securely prompt it to send an email whenever our deals change status from signed to paid. Once that's intelligently generated, I'll select the relevant deals database and realistically continue setting up the trigger.

It instantly tests the connection and reliably brings back the right data payload. We can customize the stage label configuration to only intuitively include the specific stages we are testing. From there, I'll directly map the workflow to send an email to myself with the smartly captured deal details.

By smoothly accessing the updated record node, we can dynamically pull in fields like the deal name and new stage. I'll run a quick live test and immediately see the email come through to my inbox. Setting absolutely all of this up in the backend is incredibly fast and structurally seamless.

I can visually set a restriction on the appropriately selected deals table so assistants universally see data matching mailbox three.
