This project involves building a secure client portal using Softr integrated with HubSpot to provide clients with controlled visibility into the deal opportunities introduced to them. The platform will act as a centralized interface where clients can track opportunities, review company information, and access relevant documents while ensuring strict data privacy and access restrictions.
Within the system, clients are stored as Contacts in HubSpot, while opportunities are associated with Companies and managed through the Deals pipeline. Each client is assigned an Account Manager, who is responsible for creating and managing deal opportunities. Account Managers will be able to log into the Softr portal and view the clients assigned to them, while each client will only have access to opportunities specifically introduced to them.
The portal will organize opportunities based on their status, allowing clients to easily track deals categorized as Opportunities in Progress or Opportunities Declined. Each opportunity displayed in the portal will automatically synchronize key company information from HubSpot, including company name, sector, turnover, location, website, and opportunity type.
To improve transparency and provide a better overview, each client will have access to a personalized dashboard containing a welcome message, their teaser and acquisition requirements, and visual analytics. The dashboard will display statistics such as the total number of opportunities introduced, breakdowns by deal stage, and outcomes such as progressing or declined opportunities. These metrics will automatically update as deal statuses change in HubSpot.
The system will also support document management at the opportunity level. For each opportunity, authorized users will be able to upload and store documents such as information memorandums, NDAs, and financial information. These files will be viewable directly within the portal but restricted from download or export unless explicit permission is granted. Optionally, clients may receive notifications when new documents are uploaded.
Data security and access control are central to the platform design. Clients will only be able to view opportunities assigned to them, ensuring strict separation between client accounts. Additionally, the portal will prevent downloading, exporting, or bulk copying of opportunity data unless access is explicitly granted by the Account Manager.
Another important requirement is the ability to support returning clients. The system should allow opportunities to be filtered by assignment date so that returning clients only see opportunities introduced during their current engagement period rather than historical opportunities from previous collaborations.
Overall, this solution provides a structured and secure way to manage and present deal opportunities, ensuring efficient collaboration between account managers and clients while maintaining strict confidentiality and data protection.
