The Problem

Celonis had built up a huge library of GTM knowledge across more than 5,000 customer implementations, including pitch materials, business cases, success stories, and use-case deep dives. Early on, that knowledge was shared through a large Google Slides deck where team members had to click through hyperlinks in presentation mode to find what they needed.

But as the content library grew, the system became harder to navigate, maintain, and update. Team members needed a simple way to find the right content quickly, while content owners needed a better way to keep everything current.

Celonis was looking for a system that could:

  • Give GTM teams a fast, intuitive way to find the right content in just a few clicks
  • Pull directly from Airtable data (so the frontend reflects the latest approved knowledge assets)
  • Give content owners an easy way to update, manage, and govern content behind the scenes
  • Support custom-coded UI elements and tailored experiences without requiring software engineers

The Solution

Celonis used Softr to build a GTM knowledge base on top of Airtable, turning its structured database into a polished internal tool for 1,500+ GTM team members. The platform gives teams one place to find the right GTM assets, while making it easier for content owners to maintain and govern that knowledge. 

The team used Softr’s pre-built blocks alongside the vibe coding block to move quickly from a draft or screenshot to a working customized block. That made it possible to build an experience that felt familiar to users, almost like clickable slides, but dynamically generated from live Airtable data.

The platform covers several core workflows:

  • Knowledge discovery: GTM team members have one place to search, browse, and find the assets they need instantly. A clear information architecture and navigation bar help users get to the right content quickly.
  • Content maintenance and governance: Content owners can update records and keep the app current without rebuilding pages manually. Celonis also set up workflows to support knowledge governance over time.
  • Team-wide access and connected operations: Celonis kept permissions simple with one user group to ensure transparency across the GTM team. The team also integrated Slack and other tools to support rollout and governance.

The Celonis team built the first version of the knowledge base in less than five days, and tested it with early adopters after two weeks before launching it to the full GTM team.

The Impact

The knowledge base quickly became part of how Celonis’s GTM organization works, reaching maximum adoption within 2-3 months and becoming one of the top three core tools used by 1,500+ GTM team members.
