Tunas Muda School – Admissions CRM & Parent Portal

Established in 1994, Tunas Muda is a leading IB World Catholic school in Jakarta, serving over 1,200 students across two campuses. As enrollment scaled, managing prospective families across WhatsApp threads, paper forms, and scattered spreadsheets created critical bottlenecks for staff and a fragmented experience for parents. While their core School Management System (SMS) handled enrolled students well, it lacked the flexibility needed for high-touch admissions.

To solve this, we engineered a custom Admissions CRM and Parent Portal built on Softr, Airtable, and n8n—automating the entire journey to enrollment while keeping their SMS as the single source of truth.

The Admissions CRM centralizes applicant intake into an automated workspace. Inquiries route instantly to the right team by campus and year level, while lead tracking gives leadership clear visibility into marketing ROI. The system automatically assigns campus-specific application checklists, triggers internal task handoffs, and delivers branded offer letters and tour invites directly from the platform—turning manual follow-ups into a structured, repeatable pipeline.

For prospective families, the Parent Portal transforms a paper-heavy process into a seamless self-service experience. Parents follow a clear, step-by-step checklist to upload documents, track fee payments, register for school tours, and monitor their application status in real time —building trust and making a polished first impression from day one.

By pairing a tailored operational workspace with a modern family portal, Tunas Muda School eliminated administrative friction and built a scalable admissions engine. Staff spend less time digging through spreadsheets, parents enjoy total transparency, and student records sync seamlessly into the main database without manual data re-entry.
