Our custom-designed management system is built for a consultancy firm specializing in organizational development. Its main goal is to streamline and automate service order creation and manage official information and documentation effectively.

Key features include:

  • Service order processing: Any user with access can generate a service order by filling out a required form, ensuring standardization and consistency. When a new service order is created, automatic notifications are sent to involved users via email and WhatsApp, keeping the team synchronized and informed in real-time.

  • Document management: The system acts as a resource library, storing and providing only current and valid official documentation. This ensures facilitators always have the most recent information, maintaining the integrity and professionalism of the consultancy.

  • Specialized modules:

    • Billing module: Manages the issuance and tracking of invoices according to Mexican fiscal regulations.
    • Client module: Provides statistical and financial analysis to support decision-making and strategic management.
    • Task management module: Assigns and monitors team members' activities for their projects and responsibilities.
  • Facilitator tools: Facilitators can upload proof of expenses related to their sessions for systematic reimbursement. After sessions, they can upload photos and videos, creating a visual archive of the engagement.

  • User profiles and security: There are four access levels:

    1. SuperAdministrator: Full control, including user management.
    2. Administrator: Access to almost all functions except user management.
    3. Operational: Access to most areas, excluding financial information.
    4. Administrative: Focused on financial management, without editing capabilities.
  • Security: Access is by invitation only, ensuring system integrity and control.

The system stands out for its adaptability and ability to centralize critical business operations. This custom development has significantly improved organizational efficiency and information integrity, addressing key challenges in management documentation and internal workflows.
