Context: This is a highly customised platform, with seamless experiences for multiple stakeholders types. Custom coding and API functionality was using for designing, and automation of the contracting process.
Lakeshore Windows & Doors is a Canadian supplier and installer of premium window and door systems. As the business grew, so did the complexity of managing projects, contracts, and communication between clients, staff, and installers. The team needed a platform that could bring everything together — reducing manual work and keeping every project organised from quote to completion.
The new system connects three groups of users through a set of tailored portals: clients, internal staff (Super Admin, Admin Staff, and Sales Staff), and installers. Each group sees only what’s relevant to them. Clients can follow their project progress, sign contracts, and access files. Internal staff manage data, trigger automations, and oversee all projects from Airtable. Installers receive assigned jobs, upload photos, and update progress from their own portal view.
When a quote is approved, a contract is automatically sent through DocuSign. Each agreement is personalised to the project, pulling in client and job details directly from Airtable. The contract layout adjusts dynamically based on the information included — even the signing areas reposition automatically depending on the document length. Once signed, the final contract is saved back into Airtable and the client receives their portal invitation.
For installation jobs, the workflow continues seamlessly. When the client signs their agreement, the assigned installer receives a prompt to sign their own installer contract. Until they do, they only see the agreement in their portal. Once signed, the portal automatically refreshes — unlocking access to all project details, including site contacts, delivery schedules, and scope of work.
