Fleet Management Prototype for a UK Logistics Company (Softr + Airtable)

A UK logistics business wanted to see whether Softr and Airtable could run their fleet management, so they ran a paid trial. The job was to build a small working prototype covering Drivers and Vehicles only, with a clean interface that works on a phone and suits a logistics team. I built it as an Airtable base with a Softr front end, and the main thing they judged was how easy it is to use.

The app has a landing page for Drivers and one for Vehicles, a list page for each, and a dedicated details page for every record. The Drivers section tracks the driver ID, full name, phone, email, active or inactive status, start date, licence number, licence expiry date, assigned vehicle and notes. The Vehicles section tracks the registration, make, model, year, colour, status (active, inactive, maintenance or off the road), assigned driver, MOT expiry date, insurance expiry date and notes. A simple dashboard shows total active drivers and total active vehicles. The Vehicles landing page explains the flow in four steps: add your vehicle, add your driver, assign them, and track status. It also shows what the tool is for, which is seeing fleet health at a glance and never missing an MOT or insurance renewal.

Three decisions shaped the build. First, I linked the assigned driver and assigned vehicle as one relationship in Airtable, so when you assign a vehicle to a driver, both records update together. Two separate fields would drift out of sync, and in a fleet that means a driver on paper in a van they aren't in. Second, I asked up front whether drivers would ever log into their own profiles. The answer was yes, in the future, so I built the structure with that in mind and didn't kit it out with logins they hadn't asked for yet. Third, I kept to the scope. The client wanted a prototype, not a full product, and I resisted adding extra features.

I submitted the live prototype with a recorded walkthrough, then presented it to the client team on a video call, where I demonstrated adding a vehicle and assigning it to a driver. They liked the structure and wanted a more polished interface. I took that feedback, used design references they shared, and presented the updated version a few days later. The trial was paid in full.

What this shows: I can turn a written brief into a working Softr and Airtable app in a few days, I ask the right questions before building, and I design the data so it stays clean as the business grows. I can also take design feedback and respond quickly.
